1. DEFINITIONS
MEMBERSHIP FORM refers to the official application form submitted by THE APPLICANT to register as a MEMBER of the Chennai Small Animal Veterinarians Association (CSAVA), which must be completed online via the link provided on the official website (https://www.csavachennai.in).
2. AGREEMENT TO THESE TERMS
When applying for Membership, the Applicant confirms that they have read, understood, and agreed to be bound by these Terms and Conditions upon the application's acceptance by the Association.
3. MEMBERSHIP ELIGIBILITY (VALID UNTIL 31DEC2027)
To qualify for CSAVA membership, Applicants must fulfil the following criteria:
- Hold a Bachelor's Degree in Veterinary Science from a University recognized by the Veterinary Council of India (VCI).
- Provide valid registration with the Tamil Nadu State Veterinary Council, or a regional State Veterinary Council, or the VCI (a digital copy must be uploaded during the online application process).
- Provide evidence of active small animal practice, consisting of at least one of the following:
- A photograph of the clinic's exterior signage showing the applicant's name/practice.
- Signage identifying the applicant as a visiting consultant at a registered small animal practice.
- Valid proof of employment at a registered small animal practice.
4. MEMBERSHIP TERM & TYPE
- Type: CSAVA shall offer two distinct classes of membership: ANNUAL MEMBERSHIP and LIFE MEMBERSHIP.
- Geographical Scope: CSAVA Annual and Life Memberships are restricted exclusively to practicing small animal veterinarians residing and practicing within India.
- Term: The Annual Membership commences on the date of registration and remains valid until 31DEC2027.
- Life Membership Eligibility: Life Membership is open only to existing CSAVA Members who have maintained a minimum of four consecutive years of active and standing annual membership.
- Life Membership Duration: Life Membership remains valid for the natural lifetime of the member, subject to the active existence of CSAVA.
5. ACCOUNT REGISTRATION
Each individual Applicant is permitted to register and maintain only one membership account.
6. MEMBER BENEFITS
Members in good standing shall receive designated organizational benefits, including the right to participate in General Body Meetings, discounted registration fees for Continuing Professional Development (CPD) programs, invitations to family events, social gatherings, and other association activities. Such updates will be published periodically on the CSAVA website and the official CSAVA communication channels (e.g., WhatsApp groups).
7. ADHERENCE TO BYLAWS
Upon successful registration, all members of the Association agree to comply with and be bound by the CSAVA statutes, constitution, and bylaws.
8. ELECTRONIC COMMUNICATIONS
By registering with CSAVA, the member acknowledges and agrees that the primary medium of communication between the Association and its members will be electronic (e.g., email, SMS, instant messaging, and website announcements).
9. TECHNICAL REQUIREMENTS
It remains the sole responsibility of the individual member to ensure they possess adequate internet access and hardware to participate in the Association's digital activities and access member-only resources.
10. REGISTRATION SCREENING
The CSAVA Board screens all registration applications and reserves the absolute right to reject any application at any time of the year without being obligated to provide justification or state specific reasons.
11. ACCURACY OF INFORMATION
The Applicant warrant that all data supplied during registration is true, accurate, and complete. The Applicant is further obligated to update their profile information immediately following changes, if any.
12. ACCOUNT SECURITY
Members are strictly prohibited from sharing, assigning, or placing their account credentials or website access details at the disposal of any third party.
13. MODIFICATION OF SERVICES
CSAVA reserves the right to modify, suspend, or discontinue any individual service, feature, or section of the Members Area (or the platform in its entirety) at any time, in whole or in part, without prior notice. CSAVA further reserves the right to limit or restrict access to any or all services without liability or prior notice.
14. TERMINATION OF MEMBERSHIP
- Resignation: Members may resign from CSAVA at any time by submitting written notification via post or email to the Association's administration.
- Outstanding Dues: Any resigning member remains obligated to clear the current year's membership dues, if any, in full prior to the formal processing of their resignation.
- Board Dismissal: Membership may be terminated or suspended by a formal decision of the Board of Directors. The affected individual reserves the right to appeal the decision at the subsequent General Body Meeting.
- Expulsion for Non-Payment: Failure to pay membership dues for two consecutive years will result in automatic expulsion from the Association, without the right to appeal at the General Body Meeting.
- Post-Termination Contributions: Following resignation or termination, CSAVA retains a non-exclusive, perpetual, royalty-free license to continue utilizing, publishing, or referencing any contributions (text, research, or clinical materials) submitted by the member to the platform prior to their departure.
- Reinstatement: Former members may apply to reinstate their membership at any time. The decision to approve or deny a reinstatement request rests solely with the Board of Directors.

16. FEE DETERMINATIONS
All membership fees are determined, reviewed, and adjusted at the sole discretion of the CSAVA Administrative Committee.
17. PAYMENT COMPLIANCE
Members are required to settle all applicable fees in a timely manner through the authorized CSAVA online payment portal (https://www.csavachennai.in).
18. FEE WAIVERS
The Board of Directors retains the authority to grant partial or full membership fee waivers to specific members under exceptional circumstances.
19. CANCELLATION AND REFUND POLICY
- Immediate Activation: By registering through the CSAVA online portal, members agree that their membership term will commence immediately upon application approval. Consequently, registration fees are non-refundable once the membership is activated.
- No Partial Cancellations: Except as expressly provided in these terms, subscriptions cannot be cancelled—in whole or in part—prior to the expiration of the current subscription term.
- Notice Period: While members may submit a notice of cancellation at any time, the termination will only take effect at the conclusion of the current active billing or subscription cycle. No partial or prorated refunds will be issued.
20. GOVERNING DISCRETION
These membership rules operate in strict conjunction with the bylaws and the final discretion of the CSAVA Board. The Board maintains final authority regarding the approval, rejection, or revocation of membership status at any point during the year.
